Executive Administrative Assistant

Job Summary: The Executive Assistant provides administrative support to the HRH Capital’s CEO. This role also provides administrative support and assistance with accounting . The Executive Assistant understands the executive role and specific business processes and activities and provides specific administrative support for those activities.

Key Accountabilities

General Administrative Support

  • Assist and support daily activities of Management.
  • Coordinate, schedule, and participate in meetings as required (take minutes, prepare agendas, maintain records); Assist in meetings as directed by Management and others.
  • Assist with Sponsorship requests, payments, and other items as directed.
  • Assist with internal and community meetings and events.
  • Maintain office organization and supplies.
  • Serves as property liaison with property management company and other corporate departments.
  • Assist in projects as directed by Management and others.
  • Manage incoming mail and documents.
  • Ensure timely handling of sensitive documents.
  • Handle incoming phone calls from vendors, customers, etc.
  • Make travel arrangements for Management and/or travel to its locations when needed. Travel is approximately 8-10% of the normal working time.
  • Provide administrative support to other executive staff as directed.
  • Needs a highly level of confidentiality by handling personal financing, accounting, and other personal business for the CEO
  • coordinate trade shows, and purchasing corporate promotional products

Qualifications and Education Requirements

  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Video Conference software
  • Strong communication and organizational skills
  • Must be able to multitask and manage changing priorities and deadlines.
  • Ability to ensure proper management of confidential information.

Customer Service Representative

Position Summary: The CUSTOMER SERVICE REP/ACCOUNT MANAGER position encompasses two primary job functions: Accounts Receivable and Customer Service. The CSR/AM will interface with customers, vendors, upper management, and sales teams across several states. The BSC will also be cross trained to act as back-up for our Purchasing department.

  • Candidates interested in this position must have professional and effective communication skills, both verbal and written.
  • The candidate selected will possess a great attention to detail, be highly organized and self-driven, and be able to work autonomously with little oversight (once trained).
  • The ideal candidate will have A/R or CSR experience in manufacturing environment.

Primary Responsibilities:

  • Processes orders, prepares correspondence, and fulfills customer needs to ensure customer satisfaction.
  • Relies on experience and judgment to plan and accomplish goals.
  • Address customer issues and ensure effective and long-term problem resolution.
  • Provide timely feedback to Management regarding service failures or customer concerns.
  • Notify vendors or quality for issues/rejects and issue credit or debit memos.
  • Update KanBan board with PO, dates and vendor info.
  • Enter receivers for extrusion and outside processing.
  • Performing general bookkeeping duties, like invoicing clients, reconciling accounts and updating accounting software logs and spreadsheets.
  • Auditing ledgers periodically to ensure that the invoice numbers and billing addresses are accurate.
  • Handling any special billing situations.
  • Maintaining accurate accounting ledgers that are in line with best practices.
  • Following up with past-due accounts.
  • Responding to billing or customer service questions clients might have in professional manner.
  • Receiving and handling invoicing and billing-related mail.
  • Addressing any billing discrepancies.
  • Generating financial reports and statements that detail the status of accounts receivable.

Qualifications:

  • High School Diploma or Equivalent and at least 5 years of experience in A/R and Customer Service OR an Accounting Degree with at least 2 years of experience in related field
  • A/R or CSR experience in manufacturing highly desired
  • Familiar with a variety of the field’s concepts, practices, and procedures.
  • Degree in Accounting his highly desired, but not required.
  • Ability to organize and manage multiple priorities.
  • Strong customer orientation.
